GLJ Theatre terms and conditions (2025/2026)
TERMS AND CONDITIONS
At GLJ THEATRE we recognise and take seriously our duty of care with regards to our policies and procedures that are designed to ensure the safety of children and young people in our care. All our leaders are regularly DBS checked. Please read the following information and sign at the bottom of the page. Without this page being signed your child will NOT be able to take part within our theatre sessions.
Parental consent:
-
I give permission for the person named in this registration form to participate in GLJ THEATRE activities delivered by The GLJ Team and any visiting artists / specialists.
-
I recognise that while The GLJ Team will exercise careful supervision of the children and young people in their charge, they cannot be held responsible for any incidents that arise due to the child or young person’s own negligence or inappropriate behaviour.
-
I understand that The GLJ THEATRE Team are responsible for the participants during the session time. Outside of session times we cannot guarantee supervision so please do not leave children on the premises before the session starts unless they are accompanied by a member of The GLJ Theatre Team. Also, it is very important that parents / guardians collect their child at the agreed finishing time of the session. Unless stated on the front of form – members will not be allowed to leave the building. If permission has been given – GLJ Theatre is not responsible for your child as soon as they have left the building. The GLJ Theatre team MUST be contacted if a parent or guardian is going to pick up late.
A fine may also be added for late pick-ups. Please check pick up time at the start of the session.
-
I understand at GLJ Theatre the team expects all our members to behaviour in the correct fashion and to listen to all instructions given out by our leaders. If rules are broken or members are being disrupted GLJ THEATRE has the right to ask any member to leave with immediate effect with no refunds given.
-
I understand that I must pay all fees on time and no refunds would be given after the point of purchase.
Unfortunately, GLJ THEATRE does NOT offer any refunds for participants who wishes to no longer take part in a production / continue with the rest of the term. The same rule applies for anyone who has brought a ticket for a production and the member can no longer take part or for which they can no longer attend. GLJ THEATRE asks all members of the public to check dates etc before purchasing tickets / sessions as we cannot offer refunds and accepts no responsibilities for incorrect purchases. GLJ THEATRE can offer participants to join a SWAP LIST for tickets. Only when a show has SOLD OUT the SWAP LIST can come into play - we will then try and sell your tickets (and if we do - we'll be able to return your payment). In the event of NORTH NORTHANTS COUNCIL or any local authority refusing a young person’s performance licence - GLJ THEATRE can NOT take any responsibilities for this decision and unfortunately can't return any performance fee's / term fee or tickets purchased etc.
-
I appreciate that I must support my child in learning lines and blocking for GLJ THEATRE productions. As a theatre company I understand that my child will be required to learn lines, blocking etc for the performances. Failure to do so by the set date may result in my child’s part becoming smaller, cut, or changed.
Performance Licence and ID checks
-
GLJ THEATRE follows all governances’ rules from local authorities very closely and will need members to provide competed forms and ID checks for everyone performance / term. GLJ THEATRE will need to store ID documents for future productions to use throughout the year and into the following. GLJ THEATRE will keep this information until a member leaves GLJ THEATRE. If your child is joining us for a one-off performance or a community production etc – we will delete the information after the performance. If a weekly member wishes ID information not to be stored on our secure system you will be required to bring the ID documents at the start of every term. A letter must be written to the ARTISTIC DIRECTOR explaining your wishes – GLJ THEATRE will then act upon your wishes.
-
I understand that I MUST fill in any relevant forms from the local authority to take part in a production be that at a home or visiting venue. Failure to send in the completed documents or pieces of evidence may result in your young person not receiving a licence. GLJ THEATRES are NOT responsible for anyone who fails to send details in when we requested – this may result in NOT being able to perform on stage.
At GLJ THEATRE we engage in the following press and media activities:
-
Take photographs and videos of rehearsal and performance projects for our promotional and social media.
-
We encourage visits by photographers / reporters who photograph and interview members and include their name and area they are from in print.
This generates coverage for local, regional and national media. Our / Glamis Hall / Kingsway centre(s) and production partner marketing team will also visit GLJ THEATRE projects to generate promotional material including their websites, flyers, displays, archive and press coverage. By signing the conditions, I give permission for my child to be included in press and media activities online and in print. Please note these images may be used for marketing materials after the participant has left GLJ THEATRE. If you wish your child not to be included in any photos or videos a written letter must be handed over to the Artistic Director explaining your choice on this matter. GLJ THEATRE can NOT take any responsibility for printed or online images already shared if a parent changes the choice of images to be used.
Fitness to perform
-
By signing this form, I agree that my child is fit to perform in the current GLJ THEATRE productions. All medical needs / information has been included on the front page. Any changes to fitness to perform will be written in a letter to the Artistic director and added to this form.
The information that you have provided will be stored by The GLJ THEATRE team and will not be shared with any other parties*
I HAVE READ AND UNDERSTOOD THE ABOVE CONDITIONS OF GLJ THEATRE AND AGREE TO THESE TERMS AND CONDITIONS AND HAVE GIVEN THE CORRECT INFORMATION TO THE BEST OF MY ABILITY. I understand that the latest copy of the TERMS AND CONDITIONS can be found on the GLJ THEATRE website, and I will be informed of any updates throughout the year. My signature will be carried over for the new terms and conditions if they are updated before SETPEMBER 2026.

CHILD PROTECTION POLICY 2025
Performance licence
What are they and does my child need one?
All performances that now take place in NORTH NORTHANTS (council area) will now need a separate PERFORMANCE FORM. If you have been in one of our shows last year – this is the same form as before (but will need updating for every performance).
Unfortunately, this means more paperwork to fill in. (Please note we will now have to do a second part for each participant).
Please note if you are over 16yrs and left school (year 11) you will NOT be needed to do this form.

When your child has signed up or been successfully cast in one of our shows you will be sent a document "PART TWO of the PERFORMANCE FORM". (You only need this part) to fill in.
We will then give you a date that this MUST be filled in by. Within that e-mail we will also say what items are needed for ID checks. We will provide THE PHOTO of your child (we will take this / have taken this at the first week) and we don’t need a copy of a contact. You will however need to attach other items that are needed. If you need to scan an item, please let us know.
You will also need to send us;
A SCAN / PHOTO of your CHILD PASSPORT
or
your CHILDS BIRTH CERTIFICATE
GLJ Theatre can keep these on file in our secure system until your child leaves the company (or if they are joining us for a one-off project / community show – after the production). If you don’t wish us to keep these IDs, please let us know – but you will need to send this in each term.

When complete please return. As a saved WORD / PDF document called PERFORMANCE LICENCE _ ( PLEASE ADD YOUR CHILDS NAME )_ PART 2 along with your ID documents.
We would also recommend you saving this form onto your devise / computer as we will need to do this again for our next production.
Then you should only have to change the shows in section 5.

If you have any questions, please feel free to contact us through e-mail.
Thank you
